1. What it is, in one sentence

A desktop (Windows) application that replaces spreadsheets and shop-floor memory for managing metal inventory — plates, sheets, and profiles — in a fabrication shop. It answers one question, all the time: "what do we have, where is it, and can I prove it?"

What it is not: an ERP. No accounting, no payroll, no CRM, no full production management — the scope is deliberately narrow.

2. Who it's for

Metal/steel fabrication shops — where material is expensive, where offcuts carry value, where a material certificate (Mill Test Report) must be found months later for an inspection, and where several people touch the same inventory on the same day.

3. Two material families, two watertight zones

The main screen is split evenly in two: plates and sheets on the left, shapes on the right — because on the floor, nobody searches both at once. Each zone has its own search, its own list, its own columns. Three materials, each with their own grades, thickness catalogs and profile families — shipped already filled in, ready to use:

A 1/4" steel plate and a 1/4" aluminum plate don't weigh the same and don't cost the same — the software always keeps them apart, never one mixed-up list by mistake.

4. Receiving material — the receiving wizard

A multi-step wizard guides the receiving of a shipment:

• Starting point — library (Steel/Aluminum/Stainless), or straight from an already-configured favorite
• Dimensions entered in inches and fractions the way an operator reads them off a tape ("1/4", "3 1/2"), weight recalculated on every keystroke
• Traceability — lot number, heat number, mill, supplier, purchase order number, material certificate (MTR) attachable right at this step
• Location — where the item physically goes in the shop
• Confirmation — a full summary before saving

Several identical items can be received at once — each gets its own ID and its own label, while sharing the same lot/heat/supplier. A printable label (4 x 2 in) can be generated per item in one click, independent of saving.

5. The unique ID and the item record

Every physical item gets a unique ID, readable and easy to chalk onto the material (e.g. "STL-000245"). It stays attached to the item for its whole life in the shop, cuts included. The item record (double-click any row) shows everything: dimensions, weight, grade, location, full traceability, movement history, attached certificates, and — for an L-shaped item — a to-scale drawing of its exact shape.

From this record:

• Withdraw — removes the item from active inventory, without ever deleting it
• Move — changes its physical location
• Cut — see section 6
• Add a drop — put a recovered offcut back into stock
• Correct — anyone can correct any record; history is the control, every correction is logged
• Reserve — mark an item as promised to a project, without pulling it from inventory
• Print — the full record as PDF, or a replacement label

A locking system prevents two people from editing the same item at once: the record shows who already holds it.

6. Cutting — the rule that sets this software apart from a plain log

"Cutting means cutting, not adding a drop": when an operator declares a cut, they enter the piece they are taking — the parent item shrinks by that amount, keeps its original ID, and stays available.

• An edge-to-edge cut leaves a simple, smaller rectangle
• A corner cut leaves an L-shaped item — drawn to scale, on the cutting screen and on the item record
• Cutting an item already in L-shape applies a squaring rule: the remainder becomes the largest possible rectangle — a small leg of material may then stop being counted, and the software says so explicitly on screen
• A safeguard blocks any cut that would make an item gain weight, or leave nothing behind

A drop recovered later is entered separately, with "Add a drop" — it becomes a full item in its own right, inheriting grade and traceability from the parent, without ever re-counting material already deducted at the original cut.

7. Material traceability — certificates and project numbers

Material certificates (Mill Test Reports) — any document can be attached to an item, tied to its heat number. One certificate attached once shows up automatically on every item that shares that heat number — no need to attach it to each one separately.

Traceability by project number — a dedicated screen finds every cut, withdrawal, and reservation carrying that number, across the whole inventory — including several projects on the same parent plate over time.

Full history — every movement (receiving, withdrawal, move, cut, correction, reservation) is logged forever, never rewritten — only added to.

8. Finding what you're looking for

• Universal search, on each zone: ID, reference, lot number, heat number, grade, project number
• Search by status — three clickable pills: Available, Reserved, Withdrawn
• Archives — withdrawn or fully consumed items stay searchable, never deleted
• Minimum-stock alert — up to 15 monitored product types, each targeting a precise size, a red badge appears as soon as a threshold is hit

9. Printing and reports

Four types of PDF documents, generated in one click:

• Item record — every field shown on screen, plus the to-scale drawing of an L-shaped item when applicable
• Label (4 x 2 in) — printable in batch for a whole shipment
• Inventory report — five scopes to choose from, grouped by location with subtotals and total weight per section
• Personal information register — Bill 25 compliance

10. Favorites — speeding up repetitive tasks

Favorites (personal, or shared across the whole team) let you start a receiving entry with the library, family, product type — and even the grade — already picked, in one click. A badge on the Favorites button counts how many exist.

11. Building your own library

A shop that works a specific material (e.g. "Galvanized steel") can create its own complete library, without touching a line of code: its own thickness catalog, its own profile families, its own product types. The weight-calculation engine and the rest of the software work identically, whether the library is one of the original three or a homemade one.

12. Other data the shop can configure

Without ever touching code, a shop can manage on its own:

• Locations (racks, outdoor zones…), separated between the plate zone and the shape zone
• Suppliers
• Material grades, with their density
• Metallurgical conditions, coatings and finishes, specific to each material

None of this is ever truly deleted once used — only retired, so traceability for an item already received with that value never breaks.

13. Multiple users, roles and compliance

• User accounts, with a password — every action in the history is attributed to a real person
• Administrator role — Users & roles (create accounts, reset a forgotten password, disable an account) and Compliance (personal information register, required by Quebec's Bill 25)
• Forgotten password — an offline recovery mechanism, no email or server, from a machine code
• Consent screen, blocking before any access, Bill 25/96 compliant
• Bilingual French/English — switch anytime, independent of the unit system (imperial/metric)

14. Built-in help

A "Help & reference" screen right in the software: topics organized by category (getting started, workflows, advanced topics), each with a real screenshot and an explanation. A companion "Data guide" shows every currently configured value live, always up to date.

15. How the software deploys — two offers, never the cloud

No client data is ever hosted by SysCut. Two ways to deploy, depending on the shop's size:

• 1 workstation — standalone install, local database (SQLite), no infrastructure required
• 2 to 3 workstations — several computers share the same inventory in near real time, via a database installed on the client's own local server (SQL Server Express, free) — never a server or cloud provided by SysCut

Either way: same features, same interface, no visible difference for the user.

16. License and free trial

• 30-day free trial, no credit card or sign-up required
• After the trial, a license key (tied to one workstation) unlocks continued use — verified entirely offline

17. Installation

A standard Windows installer, which asks for the install language right away and requires no additional Microsoft software. On first launch, a screen guides the creation of the administrator account.
